An AI automation agency for US businesses

Most of the systems we run today are in US stores. Phone agents answering calls in Texas, camera reports going out every morning from US quick lube and car wash sites, and call handling at a two-store tire shop in the Southeast.

Trilix AI is based in Vaughan, Ontario, just north of Toronto. We work with US businesses over video, on Eastern time, and we build around the phones, POS, accounting and cameras you already use. This page covers what we build for US companies, how the work runs across the border and the US rules we set up with you before anything goes live.

Quick answer

Trilix AI builds AI phone agents, back-office automation, camera analytics and multi-location dashboards for US businesses. Most of our client work is in the US, including a multi-store quick lube in Texas and a two-store tire shop in the Southeast. We work over video on Eastern time, and most first builds go live in about 10 days.

What do we build for US businesses?

AI phone agents

An agent that answers every call in a natural voice, books appointments, answers the questions your team hears all day and transfers callers to a person with a short summary. Each location gets its own hours, services and prices. See the AI phone agent and custom AI voice agents.

Back-office automation

POS sales into QuickBooks, payroll checks, card reconciliation, receivables lists and the Monday report, done on schedule instead of by whoever has time. See workflow automation services.

Multi-location dashboards

Every store on one screen, from the data you already have. See the executive dashboard.

Who are our US clients?

We keep client names private, but here's what's running in the US today:

  • A multi-store quick lube in Texas. An AI front-desk phone agent, plus a second AI that audits its calls every 2 hours during shop hours and emails the owner only when something looks off. That audit caught the first model skipping booking rules, so we moved the agent to a stronger model. Camera analytics are live at 8 of 11 stores. We also drafted the employee agreements for the coaching program around Texas law. Read the case study.
  • A two-store tire and auto repair shop in the Southeast. One store has 6 bays, the other 8. AI call handling and workflow automation, fully live since October 2026. Read the case study.
  • A US quick lube and car wash operator. AI camera analytics at every site with daily and weekly reports that send themselves, and accounting automation on their POS data in progress. Read the case study.

One US auto repair shop owner posted this about us on LinkedIn: "They can build out anything. It started out just automating some reports. And then I was like, hey, can you do this? He's like, absolutely." (LinkedIn post)

Auto service is where we've built the most. The same work fits property management, clinics, logistics and field service and holding groups. Everything else on our case studies page that's marked as a demo was built on sample data, so it shows what we can build, not a client result.

How does working with a team in Ontario work for a US company?

Day to day, it feels like working with any remote agency, just with fewer hours of time difference than most.

What you might worry aboutHow it works with us
Time zonesWe're on Eastern time. That's the same as the East Coast, one hour ahead of Central and three ahead of Pacific
MeetingsVideo calls. Around the Toronto area we can visit in person
Your phone numbersThe agent works on your current US numbers and lines. No carrier switch
Where data livesHosting can be in the US, including in a cloud account your business owns. See data and security
SpeedMost first builds go live in about 10 days from an agreed spec
Who you talk toThe people who write the spec and build the system, starting with our founder on the first call

What doesn't change is the process. We learn how your stores run, write down exactly what we'll build, launch it at one or two locations and review the results with you before rolling it out.

Which US rules do we set up before go-live?

You don't need to become a lawyer to run an AI phone agent, but a few US rules shape how it's set up. We handle these in the written spec with you. This is how we build, not legal advice, so check anything specific with your own counsel.

  • Recording consent. California, Florida, Illinois, Pennsylvania, Washington and eight other states require everyone on a call to consent to recording, and the strictest rule generally applies when a call crosses state lines (Kilpatrick Townsend). Every agent we build opens with a short notice you approve: the call may be recorded and the caller is speaking with an automated agent.
  • Outbound AI calls. In 2024 the FCC ruled that AI-generated voices count as "artificial" voices under the Telephone Consumer Protection Act, so robocalls using them need the called person's prior express consent (FCC). We only set up outbound calls to people who have agreed to hear from you, and we keep a record of that consent.
  • Chat bots in California. California's bot disclosure law makes it unlawful to use an online bot to mislead people about its artificial identity to drive a sale, and requires a clear disclosure that it's a bot (Perkins Coie). Website and text agents we build say they're automated.
  • Patient data. For US clinics, HIPAA requirements, including which vendors need a business associate agreement, are worked through in the written scope before anything is built.
  • Employee recording and coaching. If you grade staff conversations or add cameras, your team should know what's recorded and who can see it. For the Texas quick lube, raw recordings are visible only to the employee in them, and managers see graded reports.

How is a US agency different from us, a freelancer or a self-serve tool?

There's no single right answer. It depends on how many locations you run and how much of the system has to touch your other software.

OptionGood fit whenWatch for
Self-serve AI receptionistOne location, simple calls, no need to connect to your POS or schedulerPer-minute or per-call pricing that grows with volume; you do the setup
FreelancerOne small, well-defined automationWho fixes it when an update breaks it in six months
Large US consultancyEnterprise programs with internal AI teams and long procurementStrategy work that ends in a deck rather than a running system
Trilix AIMulti-location operators who want calls, back office and reporting built around their own tools and kept runningWe're a small team, so we're not the pick for a large internal AI program with its own staff

If a self-serve tool covers what you need, use it. Our AI receptionist guide explains when that's enough, and the AI cost guide lists what other vendors publish.

What does it cost?

Every build has a setup fee, quoted after the first call, and a monthly fee after launch that covers hosting, monitoring, fixes and the next items on your list. We don't publish a rate card, because a two-store shop and a forty-store group need very different things.

To size it yourself first, try the missed call calculator or the AI receptionist vs staff cost calculator.

Something else on your mind? Ask us directly or call 416-262-2723.

Do you work with businesses anywhere in the US?

Yes. Our live client work is in Texas, the Southeast and other US sites, and we work with businesses in any state over video. The rules that change by state, like recording consent, are set in the spec for your locations.

Is Trilix AI a US company?

No. Trilix AI is a custom AI company based in Vaughan, Ontario, Canada. Most of our client work is in the United States, and we also work with businesses in Canada, the UK and Europe.

Can my data stay in the US?

Yes. Hosting can be in the US, including in a cloud account your business owns, with access set by role. You own your data, and it's used only to run your system.

What time zone do you support?

We're on Eastern time and schedule calls to suit yours. The phone agents themselves answer around the clock.

How fast can we go live?

Most first builds go live in about 10 days from an agreed spec. A phone agent for one or two locations is usually the fastest start. See how a pilot works.

Do you only work with auto shops?

No. Auto service is where we've built the most, but we also build for property managers, clinics, logistics and field service companies, holding groups and manufacturers.
