An AI Automation Agency That Builds Around How You Work

Every business has a list of jobs someone does by hand every day. Copying sales from the POS into QuickBooks. Chasing reviews. Building the Monday report. Reminding a branch manager about the same thing for the third time.

Trilix AI is an AI automation agency. We find those jobs, build automations that do them, and look after the automations once they're running.

What we automate

Accounting and bookkeeping

Daily sales, payments and fees pulled from your POS and posted into QuickBooks or your accounting tool, mapped to the right accounts and locations. Exceptions, like a missing deposit, get flagged to a person instead of slipping through.

Reviews and surveys

A text after each visit asking for a review or a short survey. Unhappy customers go to a manager before they go to Google. Read about getting more Google reviews.

Reports that build themselves

Sales, car counts, call outcomes and labour pulled from each system into one daily or weekly report, sent by email or shown on the executive dashboard.

Lead and call follow-up

New leads from calls, forms and ads written into your CRM, assigned to the right person and followed up on a schedule. Calls from the AI phone agent arrive with a transcript and summary attached.

Approvals and escalations

Discounts, refunds, purchase requests and incidents routed to the right manager, with reminders until someone acts. Every step is logged.

Documents

Invoices, forms and reports read automatically, with the key fields pulled out and filed. Useful when a team retypes the same PDF data every week.

What makes a good first automation

The best first project is boring, frequent and easy to measure. We look for three things:

  1. It happens often. Daily or weekly, across several people or locations.
  2. The rules are clear. A person could write down the steps on one page.
  3. You can count the result. Hours saved, errors caught, reviews gained, days shaved off month-end.

POS to QuickBooks is a common first project for multi-location operators for exactly those reasons. Review requests are another.

We'll usually tell you to skip anything that only happens a few times a year. It's rarely worth automating.

How we work as your automation agency

We learn the job first

We sit with the person who does the work today, in person in the Toronto area or over video, and write down every step, including the workarounds nobody mentions until you ask.

We write a spec you approve

You get a plain description of what the automation will do, which systems it touches, what happens when something goes wrong and who gets told. Nothing gets built until you approve it.

We build on your tools

We connect to the software you already pay for, where it allows a connection. If a system has no way in, we tell you up front and suggest the next best option.

People stay in charge

Sensitive steps, like posting to the books or issuing a refund, can wait for a person to approve them. Every action is logged and reviewable. Access is set by role, and you own your data.

We maintain it

Software changes. A POS update or a new QuickBooks rule can break an automation quietly. A monthly maintenance fee covers monitoring, fixes and small changes, so it keeps working after launch.

Where AI fits, and where it doesn't

Plenty of automation doesn't need AI at all. Moving a number from one system to another is plain logic, and we build it that way because it's cheaper and more reliable.

We use AI where it helps: reading documents, understanding a customer's message, summarising a call, sorting a request into the right queue, or writing a first draft for a person to check. We'll tell you which parts use AI and why.

Who uses it

Most of our automation work is for multi-location operators in auto service, car wash and real estate, in Canada, the US, Saudi Arabia and the UAE. Our systems are used by Kwik Kar, Exxpress Lube, Tire City & Auto, Fast Lube & Oil, Drive & Shine, Charlie's Tire & Fast Lube, the Express Wash Concepts brands and Johaar Real Estate in Jeddah.

The same approach works for clinics, property managers, franchise groups and service businesses. See our pages for Toronto and the GTA, Saudi Arabia and the UAE.

Frequently asked questions

Still unsure? Ask us directly.

What does an AI automation agency actually do?

We find repetitive work in your business, design an automation for it, build it on your existing tools and keep it running. Some steps use AI, like reading documents or summarising calls. Many are plain rules.

Can you connect our POS to QuickBooks?

In many cases, yes. It depends on whether your POS lets us read sales data. We confirm that on the first call, before quoting.

How much does an automation cost?

We quote each project after the first call, based on the systems involved and how many locations it covers. After launch, a monthly maintenance fee covers monitoring, fixes and small changes.

What happens if an automation fails?

It stops and tells a person, instead of carrying on with bad data. We monitor automations as part of maintenance and fix issues when they come up.
