An AI receptionist that knows how your business works

An AI receptionist picks up when your team can't. It answers the same ten questions your staff answer all day, books the visit, and hands the hard calls to a person with a note on what the caller wants.

This page covers what an AI receptionist does, how it compares with an answering service or a hire, what the market charges, and when a custom one is worth paying for. We build custom ones, and we'll tell you when a cheaper tool will do.

Quick answer

An AI receptionist answers your business line 24/7. It handles common questions, books appointments, takes messages and transfers callers to a person with a short summary. Self-serve plans start at about $29 to $150 a month. A custom build costs a setup fee plus a monthly fee and suits businesses with several locations or systems to connect.

What an AI receptionist does

Answers every call

Nights, weekends, holidays and the Saturday-morning rush when every line rings at once. Callers get an answer on the first ring instead of voicemail.

Answers the common questions

Hours, location, prices you approve, services, wait times and "do I need an appointment?" These calls are most of the volume at most front desks.

Books appointments

Straight into your scheduler where it allows a connection. Where it doesn't, the receptionist takes the booking and sends it to your team to confirm.

Transfers to a person

When a caller asks for someone, or the call falls outside the rules you set, it goes to the right person with a short summary so nobody has to start over.

Takes messages and follows up

Name, number, reason for the call and urgency, sent by text or email. It can also send a confirmation text after a booking.

Logs every call

A transcript, a reason and an outcome for each call, so you can see what people ask about and which calls turn into business.

AI receptionist vs answering service vs a hire

Most businesses weigh four options. Prices below are published plans we checked in October 2026, linked to each vendor's own page.

Who uses an AI receptionist

Property management and co-ops

Maintenance requests, move-in questions and after-hours emergencies that need routing to the right person. See property management and co-ops.

Clinics and front desks

Booking, rescheduling, directions and intake questions, with anything clinical left to clinicians. See AI for clinics.

Towing, logistics and field service

Calls that need a ticket opened, a location captured and a truck assigned. See logistics and field service.

When a self-serve tool is enough

Plenty of businesses don't need a custom build. A self-serve AI receptionist is a good fit when you have one location, a simple call mix, a calendar it already connects to, and someone on staff who will set it up and check the calls.

Start there if that's you. Our Goodcall vs Smith.ai comparison is a fair place to begin, and our roundup of the best AI receptionist for auto shops covers nine options with public pricing.

When a custom AI receptionist is worth it

A custom build earns its cost when one or more of these is true:

  • You run several locations with different hours, services and prices, and callers need the details for the store they called.
  • The answer lives in another system. A live wait time from the bays, a booking slot from your scheduler, a member's plan from your POS.
  • Calls need routing rules that a generic setup can't express, like "fleet calls go to this manager, quote calls over a certain size go to that advisor."
  • You want someone to watch the calls. An agent that's never checked will drift. We audit calls on a schedule and fix what's wrong as part of the monthly plan.

What we build

We build the receptionist around your call mix. Each location gets its own persona, hours, services and transfer rules. Where your systems allow it, we connect it to the scheduler, POS, CRM or cameras so it can answer with real information. Then we audit it.

One example from our work: a multi-store quick lube in Texas runs our AI front desk, plus a second AI that reviews its calls every 2 hours during shop hours and emails the owner only when something looks off. That audit caught the first model ignoring some booking rules, so we moved the agent to a stronger model. Read the Texas quick lube case study.

The receptionist is one part of the AI phone agent we build. If you need outbound calls or a voice agent wired deep into your systems, see custom AI voice agents.

What it costs

Self-serve tools publish monthly plans, usually priced by minutes, calls or customers served. A custom AI receptionist from us is a one-time setup fee plus a monthly fee for hosting, monitoring, call audits and changes. The price depends mostly on how many locations you run and how many systems we connect.

Our guide to what custom AI costs explains the pricing models and lists published market prices. To size the problem first, the missed call calculator estimates what unanswered calls cost you each month.

What is an AI receptionist?

An AI receptionist is software that answers your business phone with a natural voice. It answers common questions, books appointments, takes messages and transfers callers to staff. Unlike voicemail, it talks with the caller. Unlike a phone menu, callers just say what they need.

How much does an AI receptionist cost?

Self-serve plans we checked in October 2026 started at $29 a month on Dialzara, $79 on Goodcall and $150 on Smith.ai's AI Receptionist Pro plan. A custom build is a setup fee plus a monthly fee. See the AI cost guide for the details.

Will callers know they're talking to AI?

They should. We set a short disclosure at the start of the call, and callers who ask for a person get transferred.

Can it use my current phone number?

Yes. The receptionist works with your existing numbers and lines. We agree with you when it picks up and when calls ring the store first.

Is an AI receptionist better than an answering service?

It's cheaper per call and never puts callers on hold. A live service still handles angry callers and complex judgment calls better. Many businesses run AI first with a clean handoff to a person.

Do you only build for auto shops?

No. Auto service is where we've built the most, but we also build for property managers, clinics, towing companies, holding groups and other businesses that run on the phone.
