Trilix AI ("Trilix", "we", "us") is a company based in Vaughan, Ontario, Canada. This policy explains what personal information we collect when you use trilix.ai, book a call or contact us, how we use it, and the choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
The short version: we collect only what we need to respond to you and run our business, we use a few well-known service providers to do that, and we do not sell or rent your personal information to anyone.

What we collect
Information you give us
- Contact and booking details. When you book a call, request a demo or pilot, or email us, we collect your name, work email, phone number, company, role, and anything you choose to tell us about your business.
- Messages. The content of emails and other messages you send us.
Information collected automatically on our website
- Usage data through Google Analytics. Pages viewed, time on page, approximate location (city or country level), device and browser type, referring site, and similar data. Google Analytics uses cookies and similar technologies to collect it.
- Basic server logs. Our hosting provider keeps technical logs (such as IP address, browser and time of request) to keep the site secure and working.
Tools on the site. The missed call calculator runs in your browser. The numbers you enter stay in your browser and in the page address; we do not store them.
We do not knowingly collect sensitive information through the website, and we ask that you don't send it to us.
How we use it
We use personal information to:
- reply to your questions and schedule and hold calls you book with us
- prepare proposals, pilots and services you ask for, and manage our client relationships
- send you information you agreed to receive (see "Email and CASL" below)
- understand how the website is used so we can improve it
- keep the website and our systems secure, and meet legal and accounting requirements
We use your information only for these purposes, or for a new purpose you have agreed to or that the law permits.
Service providers we use
We share personal information only with service providers that help us run our business, and only what they need to do their job. They are not permitted to use it for their own purposes. These include:
- Google Analytics (Google LLC) for website analytics. You can opt out with the Google Analytics opt-out browser add-on or by blocking cookies in your browser. Learn more in Google's explanation of how it uses data from partner sites.
- Calendly (Calendly LLC) to let you book calls with us. When you book through the Calendly scheduler on our contact page, Calendly processes the details you enter under its own privacy policy.
- Email and productivity providers to send, receive and store email and business documents.
- Website hosting to serve trilix.ai.
Some of these providers store or process information outside Canada, including in the United States. When that happens, your information is subject to the laws of that country, and may be accessible to its courts, law enforcement and national security authorities. We use contracts and other measures to protect information handled by our providers.
We may also disclose personal information if the law requires it, or as part of a sale or reorganization of our business, in which case the information stays protected under this policy.
We do not sell, rent or trade personal information.
Email and CASL
We follow Canada's Anti-Spam Legislation (CASL). We send commercial emails only to people who have given consent, either expressly or as CASL allows (for example, after you have contacted us about our services). Every marketing email identifies us and includes a working unsubscribe link. You can also unsubscribe at any time by emailing admin@trilix.ai. We process unsubscribe requests promptly and within the time CASL requires. You will still receive messages directly related to services you've asked for, such as meeting confirmations.
Cookies
Our website uses cookies set by Google Analytics to measure visits. Calendly may set its own cookies when its scheduler loads. You can block or delete cookies in your browser settings; the site will still work.
Client data in our AI systems
When a business hires us to build or run an AI system (for example, a phone agent, camera analytics or a dashboard), we process the data in that system on behalf of that business and under our written agreement with them. That business decides what data is collected and why. If you are a customer of one of our clients, please contact that business directly about your information; we will help them respond.
How long we keep it
We keep personal information only as long as we need it for the purposes above, or as long as the law requires (for example, tax and accounting records). After that, we delete it or make it anonymous.
How we protect it
We use reasonable administrative, technical and physical safeguards for the sensitivity of the information, including access controls and encrypted connections (HTTPS) on our website. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the Office of the Privacy Commissioner of Canada where the law requires it.
Your choices and rights
You can:
- ask what personal information we hold about you and request a copy
- ask us to correct information that is inaccurate or incomplete
- withdraw your consent, for example to marketing emails, subject to legal or contractual limits
- ask how we have used or shared your information
Send requests to admin@trilix.ai. We will respond within 30 days, as PIPEDA requires, and may need to confirm your identity first. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
Children
Our website and services are meant for businesses. We do not knowingly collect personal information from children.
Links to other sites
Our site links to other websites, such as Calendly and Google. Their privacy practices are their own, so please read their policies.
Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows when it last changed. If we make a significant change, we will post a notice on this page.
