An AI Executive Assistant for the Chairman of a UK Holding Group

One assistant across 11 businesses. It keeps track, checks in with the team and sends nothing without the chairman's say-so.

We keep client names private. This page covers what we built for this group and how it works.

The situation

This is a UK holding group that runs 11 businesses.

The chairman sits across all of them. Every business has its own team, its own tasks and its own updates. Keeping track of who owes what, and where each thing stands, is a full-time job on its own.

The usual answer is more messages. More chasing, more group chats, more updates arriving one at a time all day. That makes the picture harder to see.

The goal was one place to see what's happening, and help with the chasing, while the chairman keeps control over everything that goes out.

What we built

A task tracker across the businesses

One tracker covering the work across all 11 businesses, so the chairman can see open tasks without asking each team.

A WhatsApp assistant and a voice assistant

The chairman can work with the assistant on WhatsApp or by voice, whichever suits the moment.

Team check-ins and an end-of-day wrap

The assistant checks in with the team 3 times a day. If someone hasn't replied, it follows up politely. If they have, it leaves them alone. At the end of the day, the chairman gets a wrap of where things stand.

Read-only connections to Jira and Slack

The assistant reads from Jira and Slack so it knows what's happening in the tools the teams already use. It's read-only. It doesn't change anything there.

How it works day to day

The check-ins go out three times a day. When someone replies, that's the end of it for that check-in. The polite follow-up only goes to people who haven't replied.

Updates don't arrive one by one. The assistant batches them into summaries, so the chairman reads a few clear messages instead of a stream of pings.

At the end of the day, the chairman gets the wrap. What moved, what's open and who still owes an answer.

One rule sits over all of it: nothing goes out without the chairman pressing a button. The assistant can draft, sort and summarise. A person decides what actually gets sent.

We think that's the right way to build an assistant for someone senior. The AI does the tracking and the chasing. The chairman keeps the judgment and the voice.

What's next

The goal is simple. The chairman should be able to see where every business stands without having to ask, and spend the day on decisions rather than chasing updates.
