POS to QuickBooks, by location, without the retyping

In a multi-location business, someone opens the POS report for each site, types the totals into QuickBooks, then hunts for why the bank deposit is short. That work grows with every site you add.

We automate it. This page covers what syncs, what the automation checks, how a build runs and when you don't need us.

Quick answer

Trilix AI builds automations that take each location's daily sales, payments and fees from your POS and post them into QuickBooks, mapped to the right accounts and locations. Card deposits are reconciled, anything odd goes to a review queue, and nothing posts without a person approving it. A first version is usually live in about 10 days.

What gets posted to QuickBooks?

Daily sales by location

Each site's sales, payments and fees from the POS, posted into QuickBooks and mapped to the right accounts. Each entry is tagged to its site with Class or Location tracking, so you can run a P&L by location.

One summary entry per site per day

Usually not every ticket. Ticket-level detail stays in the POS, where you can drill into it, and QuickBooks stays fast and readable.

Import files when you prefer them

Where a business would rather import than post directly, the system produces the QuickBooks import file once the review is done. Our quick lube accounting demo generates payroll and QuickBooks import files this way.

What does the automation check before anything posts?

  • Card deposits against POS card totals, by day and location, with anything that doesn't tie out flagged.
  • Missing deposits and other exceptions, sent to a person instead of slipping through.
  • A review queue. Every flag gets an approve or a fix. Nothing posts without a person approving it.
  • Further audits where you need them, such as payroll punch exceptions, fleet and pay-later receivables, and discounts or cancellations by employee. These run in our accounting demo on real POS exports.

How does a POS to QuickBooks build run?

  1. Check the POS on the first call. It depends on whether your POS lets us read sales data, through an API or a scheduled export. We confirm that before quoting.
  2. Agree the account map. Which POS categories go to which QuickBooks accounts, settled with your accountant.
  3. Build and test on your real POS exports.
  4. Run it alongside manual entry for two weeks and compare, so the numbers tie out before you rely on it.
  5. Keep it running. A POS update or a new QuickBooks rule can break an automation quietly. The monthly fee covers monitoring, fixes and small changes.

With access to the POS data and an agreed account map, a first version is usually live in about 10 days.

Who is it for, and who isn't it for?

A good fit: several locations, more than one way money arrives (cards from different processors, cash, memberships, fleet accounts), and deposits that need real reconciliation. It's a common first project for quick lubes, car washes and tire and auto repair shops.

Not a fit: one site whose POS has a working QuickBooks add-on. Use the add-on. Our guide to car wash POS to QuickBooks compares add-ons, connector apps and custom automation, with a mapping table and a checklist.

Where does this run today?

A quick lube and car wash operator that already runs our camera AI at every site is having accounting automated on its POS data now. The goal is to let one accountant handle work that took three. The quick lube accounting demo was built on real POS exports with the card processor side simulated, and it's labelled as a demo.

Who owns the books and the data?

You do. Sales, payroll and accounting data stay with your business, and we use them only to run your system. Access is set by role and every automated action is logged. More on data and security.

How much does it cost?

A one-time setup fee plus a monthly fee, quoted after the first call. The price depends mostly on how many locations and POS systems are involved and which checks you want. See the AI cost guide. If the phones are costing you too, estimate what missed calls cost or compare a front-desk hire with an AI agent.

Frequently asked questions

Something else on your mind? Ask us directly or call 416-262-2723.

Can you connect our POS to QuickBooks?

In many cases, yes. It depends on whether your POS lets us read sales data. We confirm that on the first call, before quoting.

Does it post every transaction?

Usually not. One summarized entry per site per day keeps QuickBooks readable. Ticket-level detail stays in the POS.

How are multiple locations handled?

Each entry is tagged to its site with QuickBooks Class or Location tracking, so you can run a P&L by location.

Does anything post without a person checking it?

No. Exceptions go to a review queue, and nothing posts until a person approves it.

How long does it take to set up?

A first version is usually live in about 10 days once we have POS data access and an agreed account map. Plan two weeks of running it alongside manual entry.

What happens when the POS or QuickBooks changes?

Updates can break an automation quietly. We monitor it as part of the monthly fee and fix what breaks.

Does it work with other accounting tools?

The same approach works for other accounting tools. Tell us which one you use on the first call.
